The Girl Trips Way
Girl Trips exists to create meaningful, well-crafted travel experiences for women who are ready to show up, connect deeply, and explore the world with a great group of like-minded humans. Our retreats are intentionally small, carefully curated, and built around the belief that the best trips happen when everyone comes in with an open heart and a flexible spirit.
Because we work with boutique accommodations, local partners, and small-group logistics secured well in advance, we ask that all guests read and agree to the following terms before booking. They exist to protect everyone, including you.
Your Deposit
A non-refundable deposit is required at the time of booking to secure your place. This deposit allows Girl Trips to commit to our partners and hold your spot in a small group. Because of the intimate nature of our retreats, every seat matters.
If you are unable to attend, you may transfer your registration to another guest for a $150 CAD administrative re-listing fee. If you have paid in full, the portion of your payment designated as the deposit remains non-refundable.
Balance Payments
Your balance is due 90 days before your retreat start date, unless otherwise specified for a particular destination. Some trips may require earlier payment due to supplier commitments, and this will always be communicated clearly at the time of booking.
Failure to complete payment by the stated deadline may result in the cancellation of your reservation and forfeiture of your deposit and any funds already committed to third-party partners.
All prices are in Canadian dollars (CAD).
Cancellation and Refunds
Life happens. If you need to cancel, please notify us in writing as soon as possible. Your cancellation date is the day we receive your written notice.
Refund Schedule
- Cancellations made after the balance payment but more than 90 days before departure: 50% refund of the balance paid, excluding the non-refundable deposit.
- Cancellations made within 90 days of the departure date: 100% non-refundable.
- All refunds are subject to a 3% administrative processing fee.
We strongly encourage all guests to purchase comprehensive travel and cancellation insurance to protect their investment in the event of unforeseen circumstances.
If We have to cancel
Girl Trips reserves the right to cancel a retreat if the minimum group size is not met or if unforeseen safety concerns arise. In the event of a Girl Trips-led cancellation, you will receive a full refund of all monies paid to Girl Trips, or you may choose to transfer your credit to a future retreat. We will provide at least 30 days notice before departure whenever possible.
In situations beyond our control, including acts of nature, government travel restrictions, or other force majeure events, deposits may be non-refundable depending on what our partners are able to recover. This will always be handled on a case-by-case basis with full transparency.
Travel Insurance
Travel insurance is mandatory for all Girl Trips retreats. This is non-negotiable, and it is there to protect you.
Before departure, you will be required to provide proof of comprehensive travel insurance that includes medical coverage and emergency evacuation. Girl Trips reserves the right to refuse participation to any guest who cannot provide this documentation.
Girl Trips also strongly recommends that you purchase cancellation insurance for your flights. We are not responsible for any costs associated with flight disruptions, delays, or changes, even in the event that a retreat is postponed or cancelled.
Most guests purchase insurance at the time of booking their flights. If you are unsure where to start, we are happy to point you in the right direction.
Payment
Girl Trips accepts payment by e-transfer and credit card. Please note that credit card payments are subject to a 2.9% processing fee.
It is worth knowing that many credit cards include automatic travel insurance when you use them to book travel. If your card offers this benefit, paying by credit card may more than offset the processing fee. We recommend checking with your card provider.
All payments are processed through Grit & Grace Adventures, our registered travel partner. Your invoice and payment link will come from Grit & Grace Adventures. This is expected and intentional.
Force Majeure
Force majeure refers to events beyond the reasonable control of Girl Trips that prevent, delay, or significantly affect our ability to deliver a retreat as planned. These include but are not limited to:
- Natural disasters, including earthquakes, floods, fires, and severe storms
- War, armed conflict, or acts of terrorism
- Civil unrest, political instability, or government-imposed restrictions
- Border closures, airspace shutdowns, or major transportation disruptions
- Pandemics, epidemics, or public health emergencies
- Supplier or vendor failures outside our control
In the event of a force majeure situation, Girl Trips reserves the right to modify the itinerary, postpone the retreat, or cancel if it cannot safely or reasonably proceed. Any refunds issued will be limited to funds we are able to recover from third-party suppliers. Where suppliers issue credits rather than refunds, those credits will be passed on to you wherever possible.
This is precisely why travel insurance exists, and why we require it.
Code of Conduct and Community Standards
Girl Trips is built on the belief that the best travel experiences happen when everyone shows up with an open heart, a flexible attitude, and genuine consideration for the women around them. Our retreats are small and intimate, which means the energy each person brings affects everyone else. That is a responsibility we take seriously.
We expect all guests to treat fellow travellers, guides, hosts, and local communities with kindness and respect. Harassment, rudeness, aggression, or behaviour that disrupts the harmony of the group will not be tolerated under any circumstances.
On Participation and Pace
Our itineraries are thoughtfully planned and shared in advance. We ask that you be ready when the group is ready. If an activity is not for you, that is completely fine. Sit it out, find a patio, enjoy the moment your way. What we cannot do is hold the group or redesign the day around individual preferences. Group travel works beautifully when everyone comes in with that understanding.
Honestly? This Might Not Be for Everyone, and That Is Okay.
If you need everything done your way, struggle with spontaneity, or find it difficult to go with the flow when plans shift (and sometimes they do, that is travel), Girl Trips may not be the right fit. We say that with zero judgment. Knowing yourself is a gift. There are travel experiences designed for every kind of traveller, and we want you in the right one.
In the rare situation where someone's behaviour is significantly impacting the group, we will always try to address it with kindness first. If things cannot be resolved, we do reserve the right to ask a guest to leave the retreat. In that case, no refund would be issued and any additional travel or accommodation costs would be theirs to manage. We have never had to do this. We mention it because transparency is part of how we operate, not because we expect it to ever come up with our community.
Media and Photography
By joining a Girl Trips retreat or event, you consent to being photographed or filmed during the experience. Images and video may be used in Girl Trips marketing and promotional materials including social media, the website, and press.
If you prefer not to appear in photos or video, you are welcome to opt out at any time. We ask that you let us know at the start of the retreat and position yourself outside of group shots so you can be easily cropped, or step out when filming is underway. We appreciate your cooperation in helping us tell our story.
Behind the booking
Girl Trips partners with Grit & Grace Adventures, a TICO-registered travel agency (#50027509), to ensure all travel bookings meet the highest industry standards of professional conduct. While we choose our partners with tremendous care, Girl Trips is not liable for the actions of third-party providers including airlines, transportation companies, or local operators.
Privacy
Your personal information is collected solely to ensure your safety, comfort, and an exceptional experience during your retreat. We do not sell your data, ever. We use your information to communicate with you about your trip, follow up on logistics, and occasionally share Girl Trips news we think you will love. You can opt out of marketing communications at any time.
Your Agreement
By completing the Girl Trips booking form and submitting your deposit, you confirm that you have read, understood, and agreed to these Terms and Conditions in full.
